Admission Lead #

The role includes:

  • Signing off each year on the relevant parts of the undergraduate admissions prospectus and other marketing materials and campaigns, including sourcing new content for these where required.
  • Responding to ad hoc queries from central admissions regarding offer-making, especially in non-standard individual cases concerning international applicants and unconditional offers, liaising with other Physics staff where required.
  • Providing updates to the Physics Education Committee and BoS in Admissions matters, including the provision of statistics at various points in the cycle.
  • Organising and running Physics Pre-application Open Days and Post-offer Visit Days, with departmental assistance from the Learning & Teaching coordinators. Providing ad hoc departmental tours for individual visitors, or sourcing Physics Admissions team members to do so.
  • Liaising with departmental and university stakeholders in the setting of Physics course entry requirements.
  • Being available for consultation (including attendance at faculty/university meetings where required) in connection with the annual results Confirmation in August/September.

Open days organisation #

The role includes:

  • organising and coordinating the open days activities in collaboration with the admission lead
  • attending the open days event
  • reporting as appropriate

The role includes:

  • Attend termly ISC link tutor meetings, as organised by the ISC or faculty.
  • Advise the ISC on periodic curriculum updates of relevance to Physics.
  • Review ISC exam papers (light touch vetting) and attend ISC assessment boards, as required.
  • Organise bespoke events/tours in Physics for visits by prospective students from the ISC, including taster events and Summer progression activities.
  • Monitor the progress of ex-ISC students as they progress through our degrees (helpful to have ex-ISC students as your advisees, if possible), and feedback to the ISC as appropriate.

Admission Team Member #

The role consists of being prepared to give ad hoc tours of the department to prospective students as coordinated by the admission lead. The credits given can be adapted according to the amount of such tours requested.

International Exchange Coordinator (incoming/outgoing) #

Statement of the Job #

To act as academic coordinator for exchange activities, applying specialist academic and study abroad knowledge to departmental activities; including the planning, implementation and development of staff and student exchanges.

General #

  • To be responsible for the academic coordination of exchange activities within the Department and represent the Department on exchange matters.
  • To collaborate with the International Office in identifying potential partner institutions, setting up new and maintaining existing agreements.
  • To ensure that the Department’s partners are reviewed regularly and in accordance with L&T guidelines as well as the department’s objectives.
  • To maintain a good relationship with partner institutions through communication channels including email and visits and to promote Durham University abroad.
  • To help the International Office in carrying out research on potential partner HEIs and ensure that up-to date information on partner institutions is made available to students and staff.
  • To offer expert knowledge and guidance on University placement processes and regulations.
  • To take a proactive role in the continuous development and improvement of exchange initiatives.
  • To attend meetings of the Education Committee, the Board of Examiners, and the Board of Studies to report of any relevant matters related with student exchanges and placements.
  • To help the Faculty of Science Placement Manager (Careers Employability and Enterprise Centre) to promote placement opportunities and approve student applications to placements in industry.

Outgoing Students #

  • To actively contribute to the recruitment, preparation, pastoral care and assessment of outgoing students.
  • To collaborate with the International Office in promoting exchange opportunities including a presence at the annual Study Abroad Fair. Including offering information sessions in the Department, distributing materials and making information available to staff and students.
  • To review applications and nominate students for exchange.
  • To offer academic guidance to outgoing students including:
    • information on the accreditation of a study abroad period at Durham University
    • advice on modules at Durham University and at the partner university
    • advice on choosing the most appropriate year abroad programme i.e. Erasmus+, Overseas
  • To ensure that all required documentation for a student’s placement is in place in a timely manner and in line with the University’s Learning and Teaching regulations. This includes the Learning or Training Agreement, the Student Placement Agreement, Risk Assessment and Insurance.
  • To liaise with the International Office on any issues or problems arising with outbound students before, during and after an exchange placement.
  • To ensure that marks from the host institution, with translation if appropriate, are available to exam boards.
  • To debrief returning students in preparation of their final academic year at Durham University.

Incoming Students #

  • To communicate with the International Office on issues relating to incoming students i.e. module choices/Departmental Appointments
  • To advise, support and monitor incoming students before, during and after the exchange period and in collaboration with the International Office.
  • To work with the International Office on incoming admissions process.
  • To update the Module Handbook and any department specific information for each academic year and to advise partner universities of possible module restrictions for incoming exchange students.
  • To facilitate module registration in the Department.
  • To inform the International Office of any withdrawals, “no shows”, extensions of stay, etc.
  • To identify alternative assessment and provide concession information for part year students as per guidance provided in the Learning and Teaching handbook section 6.5
  • To provide the International Office with support in preparing information for submission to the annual Erasmus Board of Examiners for part year students in order to produce academic transcripts and appendices.

Outbound staff #

  • To collaborate with the International Office in promoting staff exchange schemes and other opportunities for staff mobility in the Department.

POVD demonstrators #

Assist the delivery of the Post Offer Visit Days in the Department. This is for 3 days, afternoon only. The credit is 4h/event (8 for events taking place during weekends). The activities can involve sheparding groups through the department, Q&A and demonstrating experiments.

POVD telescope/simulator demonstrators #

Assist the delivery of the Post Offer Visit Days in the Department. This is to deliver the telescope or simulator activity. There are 3 afternoon with 1h delivery and 1h preparation (doubled for events during weekends).

PAOD demonstrators #

Assist the delivery of the Pre-Application Open Days in the Department. This is for 4 days, the entire day, including two Saturdays. The credit is doubled for the two Saturdays. The activities can involve sheparding groups through the department, Q&A and demonstrating experiments.

Older roles #

Open Day Demonstrator #

The role consists of assisting the running of the open days for example by acting as a guide for students groups, a demonstrator for one activity. The demonstrators have to be available for all open days.

Open days tours #

This credit is given to people acting as guides for open days event while they are not an open day demonstrator.
